As many of you may know TMCP has been undertaking a program of works for digital transformation. Following the implementation of the new matter management system we have begun a review of the paper records we hold at Central Hall in Manchester. This combined with the planned redevelopment of Central Hall, where we currently operate from, means that in the near future TMCP will be updating our archive system which is in line with both TMCP’s and the Methodist Church’s Retention Schedules.
What does this mean?
It means that TMCP will only retain files which are connected to sold Methodist Properties from 2009 onwards and any records held in relation to sales that were completed prior to this time will be destroyed.
In line with our retention period this will also mean that in each subsequent year paper files relating to properties sold will be destroyed in accordance with our retention policy. For example, in 2025 we will destroy files relating to properties sold in the year 2009 and so on. Our retention periods take into the consideration the requirements of data protection and other legislation.
Does this affect me?
The short answer is no. This is because the papers TMCP holds in relation to sold properties do not contain any original deeds or documents. In accordance with Standing Order 903 any such deeds or documents should be held in a local or Circuit safe; alternatively original documents or deeds may be held with your solicitors. That said we remain prudent by having retention periods which are lengthier than the statutory minimum.
