The first District Data Champion Forum took place via Zoom on Thursday 22nd April 2021. We are very grateful to all those District Data Champions who were able to join members of the TMCP Legal team and our colleague Georgina Crowhurst from the Connexional Team.
Annual Data Protection Checklist – Video Available
The first forum focused on the annual data protection checklist (Checklist). Please click here to access the recording of the presentation which takes you through each of the eleven checks in turn. We hope the video will help Managing Trustees to understand what they need to do to complete the Checklist.
Ideally, the Checklist should be an exercise in confirming that everything you did in 2018 to prepare for the implementation of GDPR and everything you have been doing since is up-to-date. You should make any updates as necessary, sign the form and submit this to your District Data Champion.
If you have any questions about completion of the Checklist after watching the video or you are still near the beginning of your data protection journey, please refer any questions to your District Data Champion in the first instance. If you are unsure who your District Data Champion is, please contact TMCP and we can put you in contact with them. If you have no District Data Champion at this time, we will continue to provide help and support to you.
Birmingham District Checklist Training Videos
The Birmingham District Data Champion has also produced a series of ten short videos taking Managing Trustees through each of the eleven checks. Revd Stephen Froggatt has kindly confirmed that we can share the link to these videos. We hope that you will find the additional detail and references to the accompanying resources which are available on the TMCP Website helpful in completing your Checklist.
IMPORTANT - Extension for completing the Annual Data Protection Checklist
At the forum we also notified those present that, in view of the ongoing COVID-19 pandemic, a decision has been made for this year only to extend the deadline, for handing in the Checklist. Managing Trustees will now have until the end of this Connexional year, 31st of August 2021, to submit the Checklist to their Data District Champion.
TMCP has considered the feedback from Managing Trustees and the need to balance the statutory and internal audit responsibilities placed on the Board as Controller and the practical difficulties presented by COVID-19. A decision has been made to grant an extension this year only due to the practical difficulties during the pandemic with accessing records and renewing consents. The extension is only an extension in submitting the form, the data protection responsibilities placed on Managing Trustees are ongoing.
If you have already completed your Checklist or are on course to do this by the end of May 2021, please submit this as soon as possible so that you know that this task has been fulfilled for 2021.
Please bear in mind that from 2022 onwards, Managing Trustees need to complete the checklist by 31st of May each year. This date coincides with the anniversary of the implementation of GDPR.
We are conscious of all the work that everybody has to do throughout the Connexional year and the pressures placed on you and we are very grateful for all the efforts that Managing Trustees are making across the Connexion to fulfil their data protection responsibilities. We are also grateful to those who have agreed to be District and Circuit Data Champions to help their fellow Managing Trustees with ongoing compliance and to those who have responsibility locally.
Please remember that at the heart of this is the need to keep everybody's information safe. This is about people, not data. Whether the personal information (data) of individuals belongs to Church members, their families, employees or third parties who use church premises it is in the interests of all of us to ensure that the information is looked after carefully and kept safe. Carrying out the eleven checks in the Checklist will assist Managing Trustees to do that.
